PF & ESI registration in India is mandatory for all businesses employing 20 or more workers. Provident fund registration under the EPF Act 1952 ensures employees receive retirement savings benefits through monthly employer and employee contributions. ESI registration under the ESI Act 1948 provides medical, disability, and maternity benefits to employees earning below Rs.21,000 per month. Both registrations are mandatory once the employee threshold is reached — even if the business drops below 20 employees later, the registration remains compulsory.

Yes, PF registration online is fully available through the official EPFO Unified Portal at https://unifiedportal-emp.epfindia.gov.in . ESI registration online is done through the ESIC portal at https://www.esic.in . Tax Robo handles both PF registration online and ESI registration online on your behalf — from document preparation to application filing and code generation. You do not need to visit any government office. Typical timeline is 7–10 working days from document submission.

Under provident fund registration, the employer contributes 12% of the employee’s basic salary + dearness allowance to the EPF account every month. The employee also contributes 12% of their basic salary. Of the employer’s 12%, 8.33% goes to the Employee Pension Scheme (EPS) and 3.67% goes to the EPF account. Additionally, the employer pays 0.5% towards EDLI (Employee Deposit Linked Insurance) and administrative charges. Tax Robo sets up the correct contribution schedule as part of the PF & ESI registration process.

Non-compliance with PF registration online requirements attracts serious penalties under the EPF Act. These include: interest at 12% per annum on delayed contributions, damages ranging from 5% to 25% of arrears depending on the delay period, and prosecution for wilful default which can lead to imprisonment up to 3 years. For ESI, penalties include interest at 12% per annum on delayed contributions and prosecution under the ESI Act. Tax Robo recommends registering immediately when your employee count reaches 20.

ESI registration under the Employees’ State Insurance Act 1948 provides a comprehensive social security net to employees earning below Rs.21,000 per month (Rs.25,000 for employees with disability). ESI registration online benefits include: full medical care for employees and their dependents, cash benefits during sickness (70% of wages for up to 91 days), maternity benefits for 26 weeks, disability benefits, and dependent benefits in case of work-related injury or death. The employer contributes 3.25% and the employee contributes 0.75% of wages for ESI registration coverage.

Yes — businesses with fewer than 20 employees can voluntarily opt for ESI registration online and PF registration to provide social security benefits to their employees. Voluntary coverage is a great way to attract quality talent and build a compliant HR structure before the mandatory threshold is reached. Once a business voluntarily registers for PF or ESI, the registration remains mandatory going forward even if employee count drops. Tax Robo assists with both mandatory and voluntary PF & ESI registration for businesses of all sizes.

After PF & ESI registration, businesses must: file monthly PF returns (ECR — Electronic Challan cum Return) by the 15th of every month and pay PF contributions, file monthly ESI returns and pay ESI contributions by the 15th of every month, file half-yearly ESI returns (April–September and October–March), maintain statutory registers and records as required by EPFO and ESIC, and update employee additions and exits within the specified timelines. Tax Robo’s Prime plan includes 1 month of free PF & ESI return filings to help you get started.

The documents required for PF & ESI registration include: PAN card of the business, business incorporation certificate or registration proof, GST registration certificate (if applicable), business address proof, list of all employees with salary details and date of joining, Aadhaar and PAN cards of all employees, bank account details of the business, and Aadhaar card and Digital Signature Certificate (DSC) of the authorised signatory. Tax Robo verifies all documents before submission to ensure smooth registration without rejection or delay.
